Taking a payment and applying it to invoices

Record the money from a customer; choose which invoice it counts toward or let the program start with the oldest.

Steps

  1. 1

    Define an account first

There must be at least one cash or bank account on the Cash and bank page. The collection goes into that account’s movements.

  2. 2

    Press “Collect payment”

Use the button on the Collections and payments page, or the same button on the customer’s card.

  3. 3

    Enter the details

Choose the customer, amount, date, cash or bank account and method (cash, transfer, card). Type a receipt number if you want. If you received a cheque or promissory note, pick “Cheque / note” as the method; the program takes you to the “Receive cheque/note” screen.

  4. 4

    Pick the invoice

If you pick an invoice in “Which invoice?”, it closes first. If you do not, the amount is applied starting with the oldest open invoice.

  5. 5

    Read the result

After saving, it tells you how many invoices were linked. If no open invoice remains, the surplus is recorded as an advance in the customer’s favour and is deducted from the next invoice automatically.
